Set a student's primary contact

Link an existing student record as a primary contact so their email or phone can be shown when the student's own details are missing.

Workspace owners can set and change primary contacts.

Prepare the contact record

Primary contacts are currently stored in Students, even when the person is a parent or another contact who does not attend classes. Creating the record does not require enrolling them.

    Open Students and check whether the contact already has a record.

    If not, select Add student and enter the contact's first name, last name, and available email or phone.

    Select Continue, then Skip and add student if they do not attend a class.

Link the contact to the student

You can also select a primary contact while adding a new student, provided the contact's record already exists. Each student can have one primary contact, and one contact can be linked to several students.

    Open Students and select the student who needs a primary contact.

    Open Edit student.

    Under Primary contact, search by the contact's name, email, or phone.

    Select the contact, then select Save changes.

Check the contact details

In Student details, check the Email and Phone fields. clssrm uses the student's own value when it is present and the primary contact's value when it is missing. Details supplied by the contact are labelled Via followed by the contact's name.

Select the name under Primary contact to open their record. That record also shows Primary contact for, with links to the students who use it.

Contact details are read from the linked record rather than copied. Updating the contact's email or phone updates the details shown for students who rely on that information.

Example: a parent as the contact for a child

Elena Petrou attends a weekly English class. Her parent, Maria Petrou, handles communication.

Add Maria under Students with her email and phone, without enrolling her in a class. Edit Elena's record and select Maria as her primary contact.

If Elena has no email or phone recorded, her profile shows Maria's details, labelled Via Maria Petrou. If Elena has her own email but no phone, it shows Elena's email and Maria's phone.

If Maria's number changes, update Maria's record. The linked students will use the updated number wherever they rely on her phone details.

Change or remove the link

Unlinking does not delete either record or change the student's own email or phone. Fields that previously relied on the contact will show no details unless the student has their own.

Before deleting a contact record, reassign or unlink every student who uses it as their primary contact.

    Edit the student and open Primary contact.

    Select another contact, or choose Unlink primary contact.

    Select Save changes.

If you cannot select a contact

Make sure the person has a record under Students in the same workspace, then search by name, email, or phone. Archived records can also be selected.

You cannot select the student's own record. A record that already has a primary contact cannot be selected as another student's contact. A student already serving as someone else's primary contact cannot be given their own primary contact.
